How Do I Search For Open/Closed Staff And Service User Records?

This guidance will explain how to search for any service user and staff files which are either open or closed within any of the homes that your staff file has access to. You will not be able to view records for files within homes that you do not have access to.

1) In the top right area of your Monitor page, click on the Magnifying Glass to bring up the search function page.

2) The below page will then load. By default no records will automatically display unless the search function box is used.

3) In order to search for a record you will need to type in the name of the tile that you are searching for. This needs to be exactly how the first name is displayed on their profile. If you are unsure you can also just enter surname of the file you are looking for. Once you have typed in the name, click on the 'Search' button to bring up a list of any files in the home by that name.

Columns Explained:

First Name: This will display the first name of the service user/staff file as displayed within 'edit details' of their profile.

Last Name: This will display the last name of the service user/staff file as displayed within 'edit details' of their profile.

Type: This will display whether the file is a service user or staff file type.

NHS Number: This will display the NHS Number which has been entered into the residents 'edit details' page. This will only display for Service User records.

Date of Birth: This will display the Date of Birth that has been entered into the Service Users or Staff members 'edit details' page.

Moved In/Start Date: This will display the 'Moved In' date for Service User files or the Staff members 'Start Date' as entered via 'edit details' on their profile.

Closed Date: This will only display a date once the Service User or Staff file has been closed. This will change if the file is reopened and then closed again.

Status: This column will state if the file you are viewing is currently 'Open' or 'Closed'.

Communities In: This will display the homes and communities which this specific file has access to. The name of the home will be displayed first followed by the community/s that the file is included in within that home. The below example displays the name of the home as 'Guildford Office' and then the community below that home called 'Support Resident'.
