Before You Start
You will need to be an organisational admin to enable this feature. This is shown by having this option in the top menu bar.
Introduction
mCare now features an option to manage resident’s review cycles by specifying the day of the month that that person’s care plan review should be undertaken. This is a common approach to managing reviews on a monthly, but sometime bimonthly basis. The feature is aimed at care homes that allocate a day of the month for one or a group of residents (e.g. the person in room 1 is on 1st of the month, the person in room 2 is on the 2nd etc.)
The feature to “Use day of month for care plan review cycles” enables a normal day of the month for a residents review to be set, but also enables users to specify the date of the next occurrence for the care plan review.
How To Use This Feature
To use the Day of Month for Reviews is optional at each “care site” level. To enable the feature, select the community that represents the care site from Admin | Organisation details
The “care sites” have a blue shaded background:
In the community settings for the “care site” you’ll need to tick “Use day of month for care plan review cycles” to enable the feature:
There are then two additional settings:
Care plan review cycle period – This can be set to Monthly or Bi-monthly
Maximum number of days between reviews – This determines the maximum number of days the “next review” date can be set in the future for the care plan review. This is to prevent next review dates being set too far in the future.
Reviewing Care Needs
Once the feature has been enabled for a care site; the review process will be modified to support day of month and next review date selection as part of the care plan review process:
On the “Next care plan review” screen you can:
See the resident and their room number (as this may help in allocating the day of month for reviews)
Set the “Day of month for reviews” – this would be their day of month ‘slot’. We only support the 1st to 28th.
Date of next review – the system at this point will calculate when the next date in the cycle should be. Note: if the date of next review is within the next 7 days; then the system will default to the next month (e.g. if today was the 28th May and the day of month for reviews is 2nd; then the next
review date would be the 1st July (as 1st June is assumed too close for a regular review cycle).
Date of next review – this can be overridden by the user to specify the date for the next review; but only up to the maximum number of days in the settings for the care site.
Reviewing Assessments / Forms
When the Review Day of Month Cycles feature is enabled AND a resident has been set a day of the month for their review cycle; then when reviewing any assessments and forms, the “Next review” date will be set to the day of the month as per that resident’s review cycle. Exceptions to this are when a tool/form has a specific review cycle (e.g. in Scotland the Adults with Incapacity is set to a calendar year by default).
If a resident has not been set a day of the month for their review cycle; then the assessment tools and forms will follow the community setting.
Setting Resident of the day – day for review
When the Review Day of Month Cycles feature is enabled, in a residents “Edit service user’’ section you can set the day of the month that is required for that resident’s review cycle:
Reviewing Resident of the day review cycles
When the Review Day of Month Cycles feature is enabled, an overview of all residents and their day of the month for review is available by viewing the “Outstanding Reviews” report under the Process tab on Monitor:
By clicking on the green square, the resident whose set day of the month it is can be seen:
