This guide will outline how to set up a new service user in Monitor.
1. Select the relevant community
for your new person and select
Add new service user.
2.Complete their details
and select Save.
3. Confirm agreed Consents.
4. Change the Resident
type if required, (the
system assumes a
permanent Resident unless
you change it) Moved in
date and any Anonymised
ID as appropriate.
5. Enter more
information for the
resident as shown
below. Adding The
Risks to be aware
of will create a
blue information
icon for the service
user on the
handset and these
risks will scroll
above their picture
to alert the carers.
6. By ticking
DNACPR a red
information icon will
show for the service
user on the handset
and will scroll above
their picture to alert
the carers.
7. Complete the
rest of the information
for the service user
and select Save.
8. A photo can now
be added for the
service user by
selecting Change
photo and Edit
details can be
selected to amend
or add information
at any time.
If you need to upload several service users onto the system at the same time, you
can do this as follows:
1. Select your service user’s community
2. Then select import service users
3. When you click the above button, you will be presented with a box that givesan overview of what is required and what is optional.
4. Below this you will see a sheet where you can add several service users at
once. Each service user goes on a different line. If you have all these details
on another sheet prior to using PCS, you can copy and paste onto this if
needed.
5. You can add as many or few service users as you need.

6. Once all service users are added you need to press Validate at the top
right-hand side. This will confirm the information entered is valid and in the
correct format. If there are any errors this will show in “Column J”.
7. Once validated, press IMPORT at the top right of the screen and the
service users will import into the service user community.
8. To confirm the service users have added correctly either press community on
the left-hand side bar or the PCS logo at the top left of the screen. You should
then be able to see all Service users.
