The Shift Handover Notes Read report provides visibility into which staff members have read shift handover notes and up to what date and time. It supports oversight of communication compliance and ensures staff are reviewing important operational updates.

To access the Shift Handover Notes Read report:

  1. Navigate to Reports

  2. Select Process

  3. Under Team

  4. Select Shift handover notes read

Initial State

When the page first loads:

  • The Filters section is visible at the top

  • No data is displayed until filters are applied

  • An informational message prompts you to configure filters

What this shows

That filters must be selected before results are displayed.

Use this to:

  • Define your reporting period

  • Narrow results to a specific worker or timeframe

The Filters section allows you to configure the report criteria.

Available filters include:

  • Date From

  • Date To (Inclusive)

  • Worker

After selecting your criteria, click Apply Filters to display results.

What this shows

The ability to control which staff and time periods are included.

Use this to:

  • Review compliance over a specific period

  • Focus on an individual worker

  • Conduct weekly or monthly reviews

After applying filters, the table displays:

  • Worker Name

  • Notes Read Up To (Date & Time)

  • Community / Assigned Location

  • View Worker button

Each worker appears within their own section.

What this shows

The latest timestamp confirming when each staff member read shift notes.

Use this to:

  • Identify staff who may not have reviewed recent notes

  • Monitor communication compliance

  • Support supervisory oversight

Selecting View Worker redirects you to the Staff Details page.

The Staff Details page includes:

  • Staff profile information

  • Contact details

  • Role and assignment information

What this shows

Direct access to the worker’s full profile.

Use this to:

  • Confirm employment details

  • Review role responsibilities

  • Support follow-up conversations if needed

Filtering by Worker

Screen 7: Filtering by Worker

The Worker filter allows you to narrow the report to a specific staff member.

To filter by worker:

  1. Select a Date From and Date To (Inclusive) range

  2. Choose a specific name from the Worker dropdown

  3. Click Apply Filters

Once applied, the report will display results for the selected worker only.

The worker’s name will appear as a header above their records, along with their profile image and a View Worker button.

The table will then show:

  • Started Work (date and time)

  • Notes Read Up To (latest read timestamp or “Never”)

  • Community (assigned location or service user group)

What this shows

A focused view of one staff member’s shift handover note engagement within the selected timeframe.

Use this to:

  • Review an individual worker’s compliance

  • Identify staff who have not read recent shift notes

  • Support supervision or performance discussions

  • Investigate communication gaps within a specific team member’s record

Empty State Handling

If no data matches the selected filters:

  • The report table remains empty

  • An informational message confirms that no results were found

What this shows

That no workers match the selected criteria.

Use this to:

  • Adjust date ranges

  • Select a different worker

  • Confirm whether data exists for that timeframe

The page includes the following tools:

  • Return to Top – quickly scroll back to the top of the page

  • Pin – keep the report visible in your workspace

  • Minimise / Collapse – reduce the view

  • Print – print the current report view

  • Copy API Link – copy the report link for sharing or integration

Use this to:

  • Export report data

  • Share results

  • Improve navigation efficiency
